Terms & Conditions

Please read these Terms & Conditions carefully before booking a Wander Wide journey. By submitting a deposit, checking the acceptance box on any Wander Wide form or page, or otherwise confirming participation in a Wander Wide journey, you agree to be bound by these terms in their entirety. These terms constitute a legally binding agreement between you and Wander Wide LLC under the laws of the State of Wisconsin.
Section 01

About Wander Wide

Wander Wide LLC is a Wisconsin-registered boutique travel advisory company specializing in small-group journeys to Japan. Wander Wide is operated by Heather Koll, a travel advisor with 22 years of Japan experience. Wander Wide offers three journey types: bespoke custom itineraries, 9+1 Group Program journeys, and interest-based small-group trips capped at ten (10) travelers per session.

Wander Wide acts solely as a travel advisor and coordinator. Wander Wide does not own, operate, or control any airline, hotel, transportation provider, attraction, or other third-party supplier. All third-party services are subject to the terms and conditions of the respective suppliers.

Wander Wide carries Errors & Omissions (E&O) professional liability insurance. This insurance covers professional advisory errors and omissions by Wander Wide and does not extend to the acts, omissions, or negligence of third-party suppliers.

Section 02

Booking & Payment

Deposit

A non-refundable deposit of $500 per person is required to confirm your place on any Wander Wide journey or program. No spot, itinerary, or reservation will be held until the deposit is received. Deposits are processed securely via Stripe.

Balance Due

Your remaining balance is due no later than 45 days prior to your scheduled departure date. Wander Wide will send a balance reminder no fewer than 14 days before the due date.

Late Payment

If the balance is not received by the due date, Wander Wide reserves the right to cancel your booking. In this case, the cancellation policy in Section 3 applies and your deposit will be forfeited.

9+1 Program

Under the 9+1 Program, the designated group host's land costs are covered when nine (9) paying travelers have confirmed and paid deposits. The host benefit applies to land costs only and excludes international airfare, travel insurance, and personal expenses. The benefit amount will be confirmed in writing before the balance due date.

Group Trip Pricing

Interest-based small-group trips are priced at a fixed all-inclusive per-person rate as described in the journey details. Spots are confirmed on a first-paid basis and are limited to ten (10) travelers per session.

Accepted Payment Methods

Wander Wide accepts payment via credit card or debit card through Stripe secure checkout, or by bank transfer to Wander Wide LLC. A receipt will be issued for all payments received.

Section 03

Cancellation & Refund Policy

Cancellation by You

All cancellations must be submitted in writing via email to heather@wanderwide.net. The cancellation date is the date written notice is received by Wander Wide. The following schedule applies:

Refunds, where applicable, will be processed within 14 business days via the original payment method.

⚠ Non-Refundable Deposit The $500 per person deposit is non-refundable under all circumstances, including medical emergencies, personal circumstances, natural disasters, or force majeure events. Wander Wide strongly recommends purchasing comprehensive travel insurance — including trip cancellation and Cancel for Any Reason (CFAR) coverage — at the time of deposit.

Cancellation by Wander Wide

Wander Wide reserves the right to cancel a journey due to insufficient group size, force majeure, safety concerns, or circumstances beyond our reasonable control. If Wander Wide cancels, you will receive a full refund of all monies paid directly to Wander Wide within 14 business days. Wander Wide's liability is limited to amounts paid directly to Wander Wide and does not extend to independently purchased airfare, travel insurance, or other non-Wander Wide expenses.

Changes to Your Booking

Requests to change travel dates, session, journey type, or group composition after deposit may be subject to change fees from DMC partners and third-party suppliers. Any such fees will be communicated in writing before changes are confirmed.

Section 04

Travel Insurance

Travel insurance is strongly recommended and considered a condition of participation in any Wander Wide journey. At minimum, we encourage all travelers to obtain coverage for:

  • Trip cancellation and interruption
  • Emergency medical treatment and evacuation
  • Baggage loss and delay
  • Cancel for Any Reason (CFAR) coverage, where available

Wander Wide is not responsible for any losses, costs, or damages that would have been covered by a comprehensive travel insurance policy. Failure to purchase travel insurance does not alter the cancellation and refund policy in Section 3.

Section 05

Limitation of Liability

Wander Wide acts as an intermediary between you and third-party suppliers including airlines, hotels, DMC ground operators, transportation providers, and attraction operators. While Wander Wide carries E&O professional liability insurance, this does not expand our liability beyond the limitations stated here.

Wander Wide is not liable for:

  • Any injury, illness, death, loss, damage, delay, or inconvenience arising from the acts or omissions of third-party suppliers
  • Acts of God, natural disasters, severe weather, pandemics, epidemics, or other force majeure events
  • Government actions, border closures, travel advisories, or changes in visa or entry requirements
  • Theft, loss, or damage to personal property during any journey
  • Additional costs resulting from changes to transportation schedules, supplier operations, or itinerary modifications beyond Wander Wide's control
  • Any consequential, indirect, incidental, special, or punitive damages of any nature

Wander Wide's maximum aggregate liability for any claim arising from these terms shall not exceed the total fees paid directly to Wander Wide for the journey in question. By booking with Wander Wide, you expressly waive any claim exceeding this amount.

Section 06

Your Responsibilities

  • You are responsible for ensuring all travelers in your party hold a valid passport with at least six (6) months validity beyond the scheduled departure date
  • You are responsible for obtaining any required visas, vaccinations, or travel documentation required by Japan or any transit country
  • You agree to conduct yourself respectfully in accordance with local laws, customs, and consideration for fellow travelers
  • You agree to promptly communicate any material changes to your group composition, health status, or travel requirements
  • You acknowledge that Japan travel involves physical activity including walking, stairs, and uneven terrain, and you accept personal responsibility for assessing your own fitness and suitability for the journey
  • You agree to arrive at all designated meeting points on time and to follow reasonable instructions from Wander Wide and its DMC partners
Section 07

Health, Accessibility & Special Requirements

You agree to disclose any dietary restrictions, medical conditions, mobility limitations, or accessibility requirements relevant to your journey prior to departure. Wander Wide will make reasonable efforts to accommodate disclosed requirements in coordination with DMC partners and suppliers, but cannot guarantee that all requirements can be fully met in every location.

Wander Wide's SLP-informed approach means that sensory, neurodivergent, and accessibility needs are taken seriously and addressed to the best of our ability within the constraints of each destination and supplier.

Section 08

Force Majeure

Wander Wide shall not be liable for any failure or delay in performance arising from causes beyond our reasonable control, including but not limited to: acts of God, natural disasters, pandemics, government actions, war, civil unrest, terrorism, or labor disputes. In such circumstances, Wander Wide will use reasonable efforts to mitigate impact and communicate with affected clients promptly. Your remedies in force majeure situations are limited to those set forth in Section 3.

Section 09

Privacy & Data

Personal information collected in connection with your journey will be used solely for the purpose of planning and delivering travel services. Wander Wide will not sell, share, or disclose your information to third parties except as required to fulfill your journey (e.g., sharing your name and dietary requirements with DMC partners). All data is handled in accordance with applicable U.S. privacy laws.

Section 10

Governing Law & Dispute Resolution

These Terms & Conditions are governed by the laws of the State of Wisconsin, United States, without regard to conflicts of law principles. Any dispute shall first be addressed through good-faith written negotiation. If unresolved within 30 days, the parties agree to pursue mediation before initiating legal proceedings. Any legal proceedings shall be brought exclusively in the courts of Milwaukee County, Wisconsin.

Section 11

Electronic Acceptance

Checking the acceptance box on any Wander Wide form or page, submitting a deposit payment, or confirming participation via email constitutes a valid and legally binding agreement under the Uniform Electronic Transactions Act (UETA) as adopted in Wisconsin (Wis. Stat. § 137.11 et seq.) and the federal E-SIGN Act. A timestamped record of your acceptance is retained by Wander Wide.

Section 12

Pricing, Fees & Commission Disclosure

Wander Wide prices all journeys on an all-inclusive, per-person basis. This price encompasses Wander Wide's advisory fee, coordination costs, DMC ground partner services, accommodations, transportation, included experiences, and applicable margins. Wander Wide is not required to, and does not, disclose the individual components, supplier costs, or commission rates embedded within any all-inclusive journey price.

This pricing model is consistent across all Wander Wide journey types — bespoke itineraries, 9+1 Group Program journeys, and interest-based small-group trips — and is disclosed to clients at the time of inquiry. By submitting a deposit, Client acknowledges and accepts this all-inclusive pricing structure.

Wander Wide may earn commissions, referral fees, or margin from third-party suppliers including hotels, DMC operators, transportation providers, and experience vendors. The existence of such arrangements does not affect the quality, objectivity, or independence of Wander Wide's recommendations. Wander Wide selects all suppliers based on quality, reliability, and suitability for the client experience.

Line-Item Requests Wander Wide does not provide itemized cost breakdowns of individual supplier costs, DMC pricing, or advisory margin as a condition of booking. Upon request, Wander Wide may provide a general category summary (e.g., accommodation, transportation, experiences, advisory services) at its sole discretion. All-inclusive pricing is final and non-negotiable on this basis.
Section 13

Changes to These Terms

Wander Wide reserves the right to update these Terms & Conditions at any time. The effective date at the top of this page reflects the most recent revision. Continued use of Wander Wide services following any update constitutes acceptance of the revised terms. Material changes will be communicated to confirmed clients via email.
