Please read this agreement carefully before completing the acknowledgement section below. By checking the boxes and submitting your signature, you are entering into a binding agreement with Wander Wide LLC.

01 Parties & Services

This Client Services Agreement ("Agreement") is entered into between Wander Wide LLC, a Wisconsin limited liability company ("Wander Wide"), and the client(s) identified in the signature section below ("Client").

Wander Wide provides bespoke Japan travel advisory services, including but not limited to itinerary design, destination management coordination, vendor booking facilitation, travel logistics consulting, and journey support. All services are provided in the capacity of a travel advisor; Wander Wide acts as an intermediary between Client and third-party travel suppliers and is not itself a transportation carrier, hotel, tour operator, or travel insurer.

The specific journey, travel dates, number of travelers, and program inclusions applicable to Client's booking will be set forth in a Journey Proposal or Program Summary provided separately and incorporated herein by reference.

02 Fees & Payment

Wander Wide's compensation is built into the program pricing presented to Client. No separate advisory fee is itemized unless disclosed in writing in the Journey Proposal.

Payment Schedule:

  • Deposit: $500 per person is due at the time of booking to confirm reservation. The deposit is non-refundable except as expressly provided in Section 3.
  • Balance: The remaining program balance is due no later than 45 days prior to departure. Failure to remit payment by this date may result in cancellation of the reservation at Wander Wide's discretion, with forfeiture of the deposit.
  • 9+1 Program: For group organizers participating in Wander Wide's 9+1 Program, the group host's land costs are covered when nine (9) paying travelers at full program price are confirmed. Airfare, personal expenses, and any optional add-ons are excluded from this benefit. The 9+1 benefit is forfeited if the group falls below nine paying travelers for any reason after confirmation.

Accepted payment methods include credit card (via Stripe), ACH transfer, and check made payable to Wander Wide LLC. All prices are quoted in U.S. dollars.

03 Cancellation & Refunds

All cancellation requests must be submitted in writing to heather@wanderwide.net. The cancellation date is the date Wander Wide receives written notice. The following schedule applies:

Note: The deposit is non-refundable under all circumstances. Wander Wide strongly recommends purchasing comprehensive travel insurance that includes trip cancellation and interruption coverage. See Section 4.

Wander Wide reserves the right to cancel a journey if the minimum number of participants required to operate the program is not met. In such cases, Client will receive a full refund of all amounts paid, including the deposit. Wander Wide is not responsible for any costs incurred by Client in connection with a program cancellation, including airfare or other independently arranged travel.

In the event a journey is cancelled or significantly altered due to circumstances beyond Wander Wide's control (including but not limited to natural disasters, political instability, government travel advisories, or public health emergencies), Wander Wide will make good-faith efforts to rebook, substitute, or provide credit, but is not obligated to issue a cash refund beyond amounts actually recoverable from suppliers.

04 Travel Insurance

Wander Wide strongly recommends that all clients purchase comprehensive travel insurance prior to departure. Recommended coverage includes:

  • Trip cancellation and interruption
  • Emergency medical and evacuation
  • Baggage loss or delay
  • Travel delay coverage

Wander Wide does not sell travel insurance and is not responsible for any losses that would have been covered by an appropriate policy. By signing this Agreement, Client acknowledges that they have been advised to obtain travel insurance and understands that declining to do so is at their own risk.

05 Supplier Relationships

Wander Wide works with third-party destination management companies (DMCs), hotels, transportation providers, activity operators, and other travel suppliers to deliver program components. These suppliers are independent contractors; Wander Wide does not own, operate, supervise, or control them.

Supplier bookings are subject to the terms, conditions, and cancellation policies of the individual supplier. Wander Wide will communicate supplier requirements to Client and will advocate on Client's behalf in the event of supplier disputes, but cannot guarantee supplier performance or outcomes.

Wander Wide selects suppliers based on quality, reliability, and alignment with the Wander Wide brand. Supplier substitutions may occur due to availability, closures, or unforeseen circumstances; Wander Wide will substitute with comparable alternatives whenever possible.

06 Limitation of Liability

To the maximum extent permitted by applicable law, Wander Wide's total liability to Client for any claim arising out of or related to this Agreement or the services provided hereunder shall not exceed the total amount paid by Client to Wander Wide for the applicable journey.

Wander Wide shall not be liable for any indirect, incidental, special, consequential, or punitive damages, including but not limited to loss of enjoyment, emotional distress, or lost profits, even if Wander Wide has been advised of the possibility of such damages.

Wander Wide is not responsible for losses caused by: (a) acts of God, force majeure, or events outside Wander Wide's reasonable control; (b) the acts or omissions of Client or third parties; (c) the acts or omissions of third-party travel suppliers; or (d) Client's failure to obtain required travel documents, visas, vaccinations, or insurance.

Wander Wide maintains Errors & Omissions (E&O) professional liability insurance coverage for its advisory services.
07 Client Responsibilities

Client agrees to:

  • Provide accurate and complete information required for booking, including full legal names matching government-issued identification, passport details, dietary restrictions, and any relevant health information.
  • Ensure that all travelers in the party hold valid passports and any required visas for travel to Japan. U.S. citizens currently do not require a visa for tourist travel to Japan, but Client is responsible for verifying entry requirements prior to departure.
  • Comply with the laws, customs, and regulations of Japan and any other destinations visited.
  • Arrive at all scheduled departure points on time. Wander Wide is not responsible for costs incurred due to missed departures.
  • Treat fellow travelers, guides, hosts, and Wander Wide staff with respect. Wander Wide reserves the right to remove a client from a journey for disruptive or harmful behavior without refund.
  • Communicate any changes to travel party composition, health conditions, or other material circumstances promptly in writing.
08 Health & Accessibility

Client is responsible for ensuring that all travelers in the party are in adequate physical health to participate in the planned journey. Wander Wide will make reasonable efforts to accommodate disclosed accessibility needs, dietary restrictions, and medical requirements, but cannot guarantee that all program components will be accessible to all travelers.

Japan travel can involve significant walking, uneven terrain, stairs (including at traditional ryokan, temples, and historic sites), and extended periods of activity. Clients with mobility limitations or specific medical needs should disclose these to Wander Wide prior to booking so that appropriate accommodations or itinerary modifications can be explored.

Wander Wide is not a medical provider and does not offer medical advice. Client is solely responsible for their own health decisions and for carrying any required medications or medical equipment.

09 Privacy & Data

Wander Wide collects personal information from Client solely for the purpose of providing travel advisory and booking services. This information may be shared with third-party suppliers as necessary to complete reservations.

Wander Wide will not sell, rent, or disclose Client personal information to unaffiliated third parties for marketing purposes without Client's consent. Client information is retained for a reasonable period consistent with legal obligations and business record-keeping requirements.

10 Governing Law

This Agreement shall be governed by and construed in accordance with the laws of the State of Wisconsin, without regard to its conflict of law provisions. Any disputes arising under this Agreement shall be resolved in the state or federal courts located in Milwaukee County, Wisconsin, and the parties hereby consent to the personal jurisdiction of such courts.

In the event of a dispute, the parties agree to attempt good-faith resolution through direct communication before initiating formal legal proceedings.

11 Entire Agreement

This Agreement, together with any Journey Proposal or Program Summary provided to Client, constitutes the entire agreement between the parties with respect to the subject matter hereof and supersedes all prior discussions, representations, and understandings. This Agreement may be amended only by a written instrument signed by both parties.

If any provision of this Agreement is found to be unenforceable, the remaining provisions shall continue in full force and effect.

Wander Wide's Terms & Conditions are incorporated by reference into this Agreement and apply to all services provided by Wander Wide LLC.

Attorney Notice: Wander Wide recommends that clients review this Agreement and seek independent legal counsel if they have questions about its terms prior to signing.
